Coolblue: Which advice can the Workbuddies team use to deal with a system transition and managing mailbox templates?

Samenvatting

This Justification Logfile examines two problems currently occurring within the HR (referred to as Human Resources) Workbuddies team, in the company Coolblue. Firstly, the HR Workbuddies team wants advice on how to manage HR system transitions, because they currently have the problem of a lack of involvement, participation and information on how to prepare for such transitions and would like to get a solution for this problem within their team, because it leaves the team with uncertainty for the next upcoming transitions and raise a lack of adaptability.

Secondly, the HR Workbuddies’ HR mailbox templates are outdated and poorly managed. This is the second problem. They contain old information, and they have no process to manage these templates, which results in an outdated template pool. Therefore, a solution to properly manage these templates is needed.

By using research methods such as questionnaires, desk research and an interview, data can be analysed to figure out what the best practices are for managing system transitions and mailbox templates, but also the benefits and opinions regarding such problems like the team is experiencing.

The results taken from the findings of all research methods informs and concludes that there is a need for regular and early-on communication about such transitions, but also the need for training within their own team, planning, feedback sessions and monitoring of these sessions. Moreover, it’s found that the management and usage of the HR mailbox templates can be enhanced by using practices such as using folders, labels, external tools and reviewing them regularly together in the team.
This report shows that recommendations, such as a communication plan, a template review schedule, the usage of external tools and personalized trainings justify the solutions for both problems by ensuring that the management of the HR mailbox templates are improved and dealing with HR system transitions within the team is also improved. The recommendations ensure the templates are tracked and no templates are out of date, and that the team can deal with such HR system transitions in an improved manner by improving their involvement, participation and knowledge gained for their experiences during and for future HR system transitions.
